Look, we get it - privacy policies can be a snooze-fest. But here at Ignis Ward Front Hotel, we're pretty straightforward about how we handle your personal details. We've been welcoming guests to our waterfront spot in Vancouver since we opened, and treating people's information with respect has always been part of our approach.

This policy covers what happens when you book a room, grab dinner at our restaurant, visit our website, or even just call to ask about our spa treatments. We've tried to keep the legal jargon to a minimum, but y'know, some of it's gotta be in here for compliance reasons.

Personal Details You Give Us

When you're making a reservation or checking in, we'll ask for the basics - your name, email, phone number, and address. If you're booking through our site, we'll need credit card info too (though that goes straight to our secure payment processor, not stored on our servers).

Stuff We Pick Up Automatically
  • Your IP address and what browser you're using when you visit our website
  • Which pages you clicked through and how long you hung around
  • Device info if you're browsing on your phone or tablet
  • Location data - but only if you've given permission through your device
Preferences & Special Requests

We keep track of things like dietary restrictions, room preferences (ocean view vs. harbor-facing), spa appointment history, and any special occasions you've mentioned. This helps us make your next stay even better.

Security Footage

We've got cameras in public areas around the property for everyone's safety. This footage is kept for 30 days unless there's an incident that needs looking into.

We're not in the business of being creepy with your data. Here's what we actually do with it:

Bookings & Service

Processing your reservations, sending confirmation emails, managing check-ins and check-outs, handling payments and receipts.

Communication

Reaching out about your stay, answering questions, sending updates if something changes with your booking.

Personalization

Remembering your preferences so we can prep your favorite room or have dietary info ready for the restaurant.

Marketing

Sending occasional emails about special offers or events - but only if you've said it's cool to do so.

Website Improvement

Analyzing how people use our site so we can make it better and fix anything that's not working right.

Legal Stuff

Meeting legal requirements, preventing fraud, protecting our property and guests' safety.

Quick note: We'll never sell your personal info to third parties. That's just not how we roll.

We don't just hand out your info to random people, but there are a few situations where we need to share data with trusted partners:

Service Providers

Companies that help us run the hotel - payment processors, booking platforms, email service providers, website hosting. They're all under strict contracts to keep your data secure and only use it for what we've hired them to do.

Tour Operators & Activity Partners

If you book one of our guided coastal tours or other experiences, we'll share relevant details with those providers so they can confirm your booking and contact you if needed.

Legal Requirements

Sometimes we're legally required to share information - like with tax authorities, law enforcement if there's a valid warrant, or in response to court orders. We're not fans of it, but we gotta comply with the law.

Business Transfers

If Ignis Ward Front Hotel were ever sold or merged with another company (not planning on it, but you never know), your information would be transferred to the new owners with the same privacy protections in place.

Yeah, we use cookies - not the chocolate chip kind, unfortunately. These are little files that help our website work better and remember stuff about your visit.

Essential Cookies

These keep the site functioning - things like remembering what's in your booking cart or keeping you logged in. Can't really turn these off without breaking the website.

Analytics Cookies

We use Google Analytics to see how people navigate our site. This helps us figure out what's working and what's confusing. The data's anonymized, so we're not tracking individuals.

Marketing Cookies

These help us show relevant ads if you've visited our site before. You can opt out of these through your browser settings or by using the cookie preferences tool when you first land on our site.

Most browsers let you control cookies through their settings. Check your browser's help section if you wanna adjust what's allowed.

We take security pretty seriously around here. Our waterfront location might be relaxed, but our data protection definitely isn't.

  • Encryption: All data sent between your browser and our servers is encrypted with SSL/TLS technology. That's the padlock icon you see in your address bar.
  • Secure Storage: Your personal info is stored on servers with industry-standard security measures, including firewalls and access controls.
  • Limited Access: Only staff members who actually need access to your data for their job can view it. Everyone's trained on privacy practices.
  • Regular Updates: We keep our systems patched and updated to protect against known vulnerabilities.
  • Payment Security: Credit card details are processed through PCI-DSS compliant payment processors. We never store full card numbers on our own systems.

That said, no system is 100% bulletproof. We do our best, but there's always some level of risk when you're sharing info online. We'll notify you ASAP if there's ever a data breach that affects your information.

You've got rights when it comes to your personal info. Here's what you can do:

Access Your Data

Request a copy of what personal information we're holding about you. We'll get it to you within 30 days.

Correct Inaccuracies

If something's wrong or outdated, let us know and we'll fix it right away.

Delete Your Data

Ask us to delete your personal info (though we might need to keep some things for legal or accounting reasons).

Opt Out of Marketing

Unsubscribe from promotional emails anytime. There's a link at the bottom of every marketing email we send.

Data Portability

Request your data in a machine-readable format if you want to take it elsewhere.

Object to Processing

Tell us to stop processing your data for specific purposes (like marketing).

To exercise any of these rights, just shoot us an email at reservations@igniswardfront.info or call (604) 555-8742. We'll need to verify your identity first, but then we'll get on it.

We don't knowingly collect personal information from kids under 13 through our website. Our services are aimed at adults making bookings, though obviously families with children are more than welcome to stay with us.

If you're a parent or guardian and think your child has given us their personal info, please reach out and we'll delete it promptly.

For guests under 18, we require a parent or legal guardian to make the booking and provide consent for any personal information that's collected.

We're located in Canada, and that's where most of your data hangs out. However, some of our service providers (like email platforms or analytics tools) might be based in other countries, including the United States.

When data goes across borders, it's subject to the laws of those countries. We make sure any international partners meet appropriate data protection standards and have safeguards in place.

If you're visiting from the EU or other regions with strict data protection laws, know that we're committed to providing similar protections regardless of where you're from. Your rights under this policy apply whether you're from Vancouver, London, Tokyo, or anywhere else.

We might update this privacy policy from time to time - either because laws change, we add new services, or we find better ways to protect your information.

When we make significant changes, we'll post a notice on our website and update the "Last Updated" date at the top of this page. For major changes that affect how we handle your data, we might
